Administrative and Financial Coordinator (Mexico)

As part of the administration team, you will be responsible for the day-to-day administrative operations and contribute to the implementation and development of internal procedures to improve the efficiency of the company.

This role includes a wide range of activities involving financial, legal, administrative, accounting and human resources. This role requires clear communication, excellent organizational and problem solving skills and superior attention to detail.

Key Tasks and Responsibilities:

  • Monitor cash flow and maintain reports;
  • Prepare accounts payable list and required authorizations;
  • Report monthly to the management team with a summary of accounts;
  • Register new vendors through the accounting system and banking portal;
  • Oversee payment terms and follow up with suppliers;
  • Be the main point of contact with clients on administration, collection and payment issues, providing / requesting the required information so that each party can be properly registered to initiate and manage the project;
  • Perform payroll payments;
  • Ensure compliance with all required tax information;
  • Monitor all tax obligations and manage payment accordingly;
  • Perform bank reconciliation with the accounting system and prepare the monthly VAT and ISR report for reporting to SAT, ensuring that the results are identical to those of the outsourced accounting firm;
  • Ensure that the compliance of the accounting report is aligned with the information collected by the Canadian firm;
  • Monitor and report internal billing between MASSIVart Mexico and Canada;
  • Complete, update and manage internal sales tools to ensure the quality of information is as accurate as possible;
  • Communicate daily with the management team for ideal team structure and organization;
  • Support in the drafting and review of contracts, working hand in hand with external legal counsel;
  • Support in the administrative and legal payroll management processes;
  • Support in human resources administrative management processes;
  • Work with the management team to develop the financial model for the business.
  • Work with the team of directors to define an appropriate tax strategy
  • Provide administrative support to the dedicated accounts team as needed

Skills we are looking for:

  • Bachelor’s degree in business administration or related field.
  • At least 2 years of experience in a similar field
  • Excellent communication skills, both oral and written
  • Experience and management of budgets and deadlines
  • Resourcefulness, autonomy, attention to detail and multi-disciplinary skills
  • Excellent Excel proficiency
  • Knowledge of QuickBooks Online environment is a plus
  • Comfortable with technology tools and Google environment
  • Excellent time and priority management skills
  • Be a results oriented person

Design and Research (Mexico)

The person working in the Design and Research area will be responsible for supporting the creative department in the development of various projects, focused mostly on the creation of visual content. The role consists of participating in brainstorming sessions, developing presentations from the strategy and concept created by the creative team, and supporting the team in maintaining internal materials up to date.

Responsibilities:

  • Attend briefs from the creative and sales department to extract relevant information for idea development.

  • Make presentations in conjunction with the Head of the Creative Department. This includes creating designs and visual content.
  • Research and recommend new ideas for creative proposals
  • Research image and video content.
  • Have graphic design and rendering development skills to include previews and sketches of proposals when necessary.
  • Assist in writing and editing of various texts and documents like presentations, reports, applications, etc.
  • The translation of various documents.
  • Support with social media content suggestions.
  • Maintain updated credential documents and other master templates.

Freelance – Designer d’environnement / concept(rice)eur scénographe (Canada ou Mexique)

Description du poste

Le ou la designer d’environnement collabore à la conception et à la réalisation d’espaces intérieurs (musées, hôtels, espaces commerciaux, etc.), d’espaces éphémères (stands, salons, expositions, etc.), d’espaces extérieurs, d’objets et de mobiliers. Son champ d’intervention s’applique à des secteurs d’activités aussi variés que l’architecture, le design, l’art et la scénographie.

Doté(e) d’une culture artistique solide et d’une grande créativité, le ou la designer travaille au sein d’une équipe pluridisciplinaire. En effet, c’est main dans la main avec l’équipe de création que le ou la profesionnel(le) évolue. Il/elle intervient particulièrement dans la phase de création/design, d’élaboration et de mise en forme des projets (3D, photomontage, plans, choix des matériaux, etc.).

 

Responsabilités principales

  • Créer des concepts;
  • Communiquer visuellement des projets (2D et 3D);
  • Développer techniquement les concepts pour la production/fabrication;
  • Mettre au point des solutions techniques;
  • Être apte à travailler sur des projets à différentes échelles (design mobilier à aménagement intérieur par exemple);
  • Respecter des délais et budget déterminés;
  • Être capable de mener plusieurs projets de front.

 

Profil recherché

  • Bonne connaissance informatique (Autocad, Sketchup, V-Ray, Photoshop, Illustrator, Indesign, etc.);
  • Être aux études ou avoir terminé des études liées au design d’environnement, design d’intérieur, etc.;
  • Expérience éclectique (univers du design, de l’évènementiel, du musée, de l’art, de la culture, etc.);
  • Débrouillardise en contexte collaboratif, autonomie, dynamisme, communication, souci du détail et multidisciplinarité;
  • Avoir un esprit innovant et créatif;
  • Excellente gestion du temps et des priorités;
  • Langues : français et anglais, lu et parlé;
  • Être à l’aise à l’idée de faire du télétravail : organisation et autonomie demandées.
